Register for our online AGM
Due to the ongoing Covid-19 pandemic, we were unable to host our AGM and Members' Gathering on 5 and 6 June 2020 as planned.
The Board of Trustees has met and agreed that our Thirty-seventh Annual General Meeting will be held online on Saturday 27 June 2020 at 11am.
How to register for the online AGM
We would very much like our Members to join us online – but to take part you will need to register before noon on Friday 19 June 2020.
When registering, you will be asked for your membership number so we can confirm your eligibility to vote. This will be written in the letter we sent you notifying you of the AGM. If you are unsure of your membership number please email our membership team.
Getting to the online AGM
You will need to download the Microsoft Teams app onto your desktop or mobile device to participate. This is quick, simple, safe and free.

The link to our online AGM will be circulated, along with relevant papers, on Friday 26 June 2020.
NB: There will be a test event on Saturday 13 June 2020 for anyone wishing to test the software ahead of the AGM. Register by 11 June to receive an inivitation to this event.
On the day
On Saturday 27 June 2020 at 11am, click the link you will receive in your email on 26 June. This will open your browser. It will ask you to open the Microsoft Teams app. Accept this. You will need to use the app to participate in the chat.
You will be asked to enter your name and to wait for someone to admit you to the meeting. Once in the meeting, check your microphone is muted (shown as a microphone with a line through it circled in blue in diagram).
The panellists will present the online AGM Agenda. You can request to ask a question in the conversation button (shown as a speech bubble circled red in diagram).
If you would like to send a question for the panel in advance of the online AGM, please email it to Ross Brannigan by 25 June.
Voting will be carried out using the conversation function. You will be notified when a vote has been posted to this for you to participate in. You will require your membership number to do this. If you are unsure of your membership number please email our membership team.
A link to SurveyMonkey will be posted in the chat. When you click on this, a screen like the one below will open in your browser. Enter the details requested and simply click 'Done'.
Return to the Microsoft Teams app to return to the meeting.

How do I register for the online AGM?
Click here to register for the online AGM. You will be asked for your membership number to do so. This will help us verify your eligibility to vote.
Where can I find my membership number?
Your membership number will have been on the letter we sent you in early June telling you about the online AGM. If you cannot find it, please email our membership team.
What is Microsoft Teams?
Microsoft Teams (often abbreviated to Teams or MS Teams) is an application used by organisations to video call with colleagues or external callers. It is a safe, secure platform.
It can be downloaded on your desktop, laptop, mobile or tablet device.
How do I download Teams?
Click on this link: https://www.microsoft.com/en-gb/microsoft-365/microsoft-teams/download-app. This is a free download.
Depending on your browser and computer/mobile, you will have a different download experience. The link above will ask you whether you wish to download Teams on your desktop or mobile device. Mobile devices include smartphones and tablets (e.g. iPads).
On desktop, follow the instructions given by your computer. Click 'Accept' and 'Run' if prompted. You may need to enter your computer's password to authorise the download.
On mobile/tablet, you can download Teams through the Apple App store or Google Play store, or follow the instructions given in the above link.
Once downloaded, there is no need to register with Teams. Simply wait until we send you the meeting link on 26 June inviting you to join the meeting.
How do I know it works?
We will have a test day on 13 June to take you through the process. We will then help you resolve any problems that may emerge.
What will the meeting invitation look like?
Click 'Join Microsoft Teams Meeting' a little before 11am on 27 June. Your browser will open and ask: 'Use Teams in browser'; or 'Use Teams app'.
It is essential you click 'Use Teams app' to be able to participate in the voting and conversation.
How many votes do I have?
If you have an individual membership, you will have one vote. If you have a joint/family, group or corporate membership, you have two votes. We will check this against the membership number you provide when voting.
